How it works
1. Visitors input their details on a tablet kiosk or scan a QR code to enter their details on their mobile.
2. Staff get notified through SMS, email, Microsoft Teams, or mobile app.
3. Pre-registration, document signing, and site induction options are available.
4. Departure: Guests can sign out via SMS or be signed out by the host.
5. Customisable sign-in types with detailed reports for ACNC reporting needs.
There are 4 ways to interact with the system:
iPad / Android tablet kiosk – The dedicated app allows people to sign in to your location using an intuitive interface that’s clear and easy to understand. Once the sign-in process is complete, the system sends out a notification to the visitors host and can even print out a self-adhesive visitor badge.
Web portal – If you don’t have a tablet device, you can use a dedicated web portal to sign-in visitors, employees, and volunteers. It offers the same level of customisation of the sign-in process but with a different look and feel.
Mobile app – The VisitUs mobile app for Android smart phones and iPhones is available to staff members of an organisation using VisitUs reception.
The app allows for QR code sign-in, where the staff member presents their QR code on the phone to the tablet on arrival or departure.
Staff can receive push notifications about a guest’s arrival or regarding an emergency evacuation on their device.
QR codes – VisitUs also allows for the generation of physical QR codes positioned around a location, allowing people to sign in using their mobile phone.
Employee management
The VisitUs system can also act as a digital register for employees and track the time they spend in the workplace.
Information about staff attendance is then compiled into detailed reports where the organisation can view details on each staff member, including the total time on site.
Document signing
Documents, such as non-disclosure agreements, can be viewed and signed at check-in or prior to arrival.
The visitor’s signature, along with a time and date stamp, is then embedded in the document and kept on record.
Pre-registration and repeat visitors
Visitors can pre-register and complete inductions before arrival via a unique portal. Scheduled visits track induction status. After completion, visitors get a personal QR code for arrival. QR codes can be reused for return visits or use mobile numbers for quick sign-in.
Deliveries
VisitUs delivery featureoffers instant alerts for incoming parcels:
- Couriers or staff log deliveries, triggering immediate email, SMS, or push notifications.
- Recipients receive notifications to collect their parcels.
- The receipt signature option enables detailed reporting of delivery details.
- Reminder messages can be sent if parcels remain uncollected.
Evacuation management features
- Notifies all onsite visitors and staff of emergencies via SMS from the web dashboard or mobile app.
- Evacuees confirm safety via SMS, updating real-time evacuation lists.
- Enables tracking of individuals' locations during emergencies.
- Automatically alerts first aiders via SMS if someone requests assistance.
Photo ID
Request a photo of the visitor during sign-in, which can then be printed onto their badge and included in the email notification to hosts.

Hardware and Software requirements
VisitUs is suited to iPads running iPad OS 15 or later and Samsung Tab Android tablets. The software can be downloaded directly from the AppStore or Google Play Store.
Meanwhile, the web interface can be accessed from any suitable browser, and the mobile app is available for iOS and Android devices.
Further optional hardware includes the Brother QL820-NWB label printer to print ID badges and a suitable stand to house the iPad.
